The template

An invoice is a payment instruction disguised as a document. Everything on it should make paying you easier, faster, and harder to postpone.

Header

Invoice number{{Sequential, e.g. 2026-021}}
Issue date{{Date}}
Due date{{Explicit date — not just "Net 15"}}

Parties

From{{Your name or business name}} {{Address}} {{Email}} {{Tax ID if required in your country}}
Bill to{{Client company legal name}} {{Billing address}} {{Accounts-payable contact}}

Send the invoice to the accounts-payable contact directly, copying your day-to-day contact — invoices addressed only to busy project people go to die in inboxes.

Line items

DescriptionQtyRateAmount
{{Specific description tied to the agreement — "Sprint 3: checkout redesign, per SOW section 2"}}{{Hours/units}}{{Rate}}{{Amount}}
{{Next item}}{{Qty}}{{Rate}}{{Amount}}
Total due{{Total and currency}}

Payment block

  • Method and details: {{Bank transfer details / payment link}}
  • Currency: {{Currency}} — amount received must equal amount invoiced; sender covers transfer fees.
  • Reference: "Please include invoice number {{Number}} in the payment reference."
  • Terms: due {{Due date}}. Balances past due accrue {{Late fee, e.g. 1.5% per month}} as agreed in our contract.

Habits that speed up payment

  1. Invoice immediately at the trigger (milestone accepted, month ended) — every day of delay is a day added to payment.
  2. Match line-item wording to the contract or SOW so approval needs no interpretation.
  3. Keep one invoice per project or period; combined invoices invite "we're just checking one line" delays.
  4. Send a friendly reminder three days before the due date, not only after it.
