The template

Operations work is invisible when done well — which makes the resume harder and more important. The move: quantify the before/after of everything you systematized. Time saved, error rates dropped, throughput raised, and scale handled ARE your portfolio.

Structure

  1. Header + location/time zones you work across.
  2. Two-line summary: "{{Ops specialty}}, {{years}} — I run {{what}} for {{team/company scale}}. Recently: {{one before/after number}}."
  3. Experience: improvement bullets (below); open each role with scope — people supported, budget, vendors, volume.
  4. Tools row: {{project tools / spreadshets-to-automation stack / support platforms / booking-travel-expense tools}} — VA and support roles are heavily tool-filtered; list honestly and completely.

The formula: system touched + what you changed + before/after number. If you never measured, reconstruct honestly ("roughly a day per week saved") — ops people who quantify themselves stand out precisely because most don't.

The reliability signal

  • Streaks are evidence: "zero missed payrolls in 3 years", "18 months without a scheduling conflict". Boring is the brag.
  • Discretion line for VA/EA roles: "trusted with {{inboxes, finances, personal matters}}" plus a reference who confirms it.
  • Proactivity beats task completion: one bullet where you fixed something nobody asked you to fix.

Tailoring by track

  • Project management: lead with delivery record (on-time %, scope size, methods), risk management stories.
  • Support: volume, CSAT, first-response/resolution times, escalation judgment.
  • VA/EA: executives supported, time zones, tools, confidentiality, and the systems you built unprompted.
  • Biz ops: cost saved, vendor consolidation, process automation with the stack named.
