The template

This document sets out the remote work policy of Company name (the "Company") and records your agreement to follow it. It applies whenever you perform work away from a Company office, whether from home or another approved location. Please read it in full before signing.

1. Scope and eligibility

This policy applies to every employee and contractor who works remotely, whether occasionally, part of the week, or full time. Remote arrangements are approved by the Company based on the needs of the role and may be adjusted or withdrawn if those needs change. Approval of a remote arrangement for one period or position does not guarantee approval for another. If your role requires occasional on-site presence — for planning sessions, client meetings, or team gatherings — the expected cadence will be agreed with your manager and communicated with reasonable notice.

2. Availability and working hours

  1. You must be reachable through the Company's standard communication tools during your agreed availability window: Availability window and time zone.
  2. During that window you are expected to respond to messages within a reasonable time, attend scheduled meetings, and keep your calendar and status indicators up to date.
  3. Planned absences, appointments, or changes to your regular schedule must be communicated to your manager in advance through the usual channel.

3. Workspace

Your primary remote work location is Primary remote work location. You are responsible for keeping that workspace safe, reasonably quiet, and suitable for focused work. At a minimum it should include:

  • A reliable internet connection capable of sustaining video calls.
  • A private space for conversations that involve confidential information.
  • Screens positioned so that people who are not authorized cannot read work material.

If you plan to work from a different location for an extended period, tell your manager first, since it can affect scheduling, security, and tax or legal obligations.

4. Security and confidentiality

  1. Perform Company work only on approved devices and accounts, keep them locked when unattended, and install updates promptly.
  2. Connect through trusted networks. Avoid open public Wi-Fi unless you use the Company-approved secure connection method.
  3. Do not print, store, or share confidential material outside approved systems, and do not allow household members or visitors to use devices that contain Company information.
  4. Report any suspected loss, theft, or exposure of a device or of Company information immediately.

5. Equipment and expenses

  1. Equipment the Company provides remains Company property. You must take reasonable care of it, use it primarily for work, and return it when asked or when your engagement ends.
  2. Remote-work expenses are reimbursable only when approved in advance and submitted with receipts through the Company's expense process.
  3. If you use personal equipment with the Company's agreement, you remain responsible for keeping it secure and up to date, and the Company does not cover its maintenance or repair unless agreed in writing.

6. Performance and communication

Working remotely does not change your goals, quality standards, or deadlines. You are expected to communicate proactively, surface blockers early, and make your progress visible to your team. Your manager may agree on additional check-ins to keep collaboration flowing. Recurring one-on-ones and team rituals apply to remote workers on the same footing as anyone working on site.

7. Changes to this policy

The Company may update this policy from time to time to reflect operational, security, or legal needs. Material changes will be communicated to you, and you may be asked to sign an updated acknowledgment.
