The template

This letter confirms the Company's decision to end the employment relationship described below, effective on the date stated. It summarizes the grounds for the decision and the practical steps that follow, so the process is clear and orderly for everyone involved.

1. The decision

Company name (the "Company") has decided to terminate the employment of Employee full name, currently serving as Role title. The termination takes effect on Termination effective date.

2. Grounds for the decision

This decision is based on documented cause, summarized as follows: Summary of grounds.

The relevant concerns were raised and documented previously, as referenced here: Prior documentation reference. The decision was reached after reviewing that record and any response you provided.

3. Final pay and benefits

  1. Your final pay, including salary earned through your last day and any amounts owed under Company policy, will be issued on Final pay date.
  2. Your participation in Company benefit programs ends according to the terms of each plan. The details that apply to you are summarized here: Benefits end summary.

4. Company property and access

Please return all Company property — including equipment, access cards, and documents — by Property return deadline. Access to Company systems will be deactivated as of your termination date.

5. Continuing obligations

Obligations that survive the end of employment, such as the confidentiality and intellectual property commitments you signed during your employment, remain in effect after your termination date.

6. Questions

If you have questions about final pay, benefits, or the return of property, contact HR contact name and email. We will handle the remaining steps professionally and respectfully, and we wish you well going forward.
