The template

This letter confirms your promotion and records the changes to your title, compensation, and reporting line, together with the date they take effect. All other terms of your employment continue unchanged. The changes become effective on the conditions stated once both parties sign.

1. The promotion

  1. Company name (the "Company") is pleased to promote Employee full name from the position of Current role title to the position of New role title.
  2. The promotion takes effect on Effective date (the "Effective date").

2. New responsibilities

A summary of the headline responsibilities of the new role is set out here: New responsibilities summary. Your manager will review the full expectations of the role with you during your first weeks in the position, and objectives will be set through the Company's regular goal-setting process.

3. Compensation

  1. From the Effective date, your base salary will be New base salary and currency per year, paid according to the Company's regular payroll schedule and subject to applicable withholdings.
  2. Any change to bonus, commission, or equity arising from the promotion is described here: Variable compensation change. If nothing changes, this field should say "none". Amounts earned under your previous arrangement before the Effective date are honored under that arrangement's terms.

4. Reporting line

From the Effective date, you will report to New manager name and title. If your reporting line was already this person, this clause simply confirms it. Transitional arrangements for handing over your current responsibilities will be agreed with your current and new managers.

5. Everything else stays the same

  1. Except as stated in this letter, all terms of your employment — including benefits eligibility, work location, confidentiality and intellectual property obligations, and the provisions governing how employment may end — continue unchanged.
  2. This letter does not create a fixed term of employment and does not limit either party's rights under the existing employment agreement and applicable law.

6. Acknowledgment

Please sign below to acknowledge and accept the promotion on these terms. If you have questions about anything in this letter, raise them with your manager or the people team before signing.
